Add details and context to action items

Sometimes action items are simple to-do’s. Other times, you need to do more work. Here’s how ResultMaps makes that easy.

Sometimes, action items are simple to get done. Other times, there are more steps involved. We might need help from others, there may be a list of things required, or we may need to focus in more.

To easily handle these situations, pop open your action item by clicking on its title. You’ll find tools to help you get the job done quickly.

When there are multiple steps, add fast from the checklist icon

When you know or realize there are multiple steps to get the result you need, you can build out more detail by adding actions under the checklist icon.

Clarify, check on progress, or provide updates

When you are working with someone else, you can discuss and clarify expectations, or provide updates. You can also see when something was created and when it was assigned .

When delegating, it can be especially useful to ask for updates here, so everyone can see the number of times you’ve requested those updates.

Add documents or images

When your action has related files, upload them, or link them from your device or third parties like Dropbox or Google.

Next level options: tweaking status, labeling and alignment

Sometimes you need to change a status that’s been set by mistake. Other times you may want to label items for easy sorting and categorizing. Or you may need to change what the action item aligns to. Use the tag icon to access all of these features, then follow the prompts. Examples of what you can do:

  • Mark item status, so that it appears accordingly in your daily update or team weekly

  • Give the item a custom or existing label for a more complex organization

  • Create a hashtag that automates alignment - then, simply use hash-tags to instantly align other items from anywhere. Once aligned, the item you tagged will show up automatically under this action item

Schedule or create a repeating action

You can add or refine the start and end dates when action is part of a larger project.

And if you want your action item to repeat on a schedule, you can change the setting under “does not repeat”, then click “update”

Team up and delegate

Delegate or assign something to a teammate. You can also use @mentions by including your @mention in the title of the action item.

Pro tip: When the result you need is anything less than crystal-clear, use the impact exercise to be explicit about why you need something from a teammate.

Add focus to ensure clarity

When you need to get past capturing tasks and creating more work, the impact exercise focuses everyone on the results you need, and how you’ll measure success.
